A task system for a restaurant in ten minutes
A restaurant runs on small tasks that nobody owns: who checks the fridge temperature, who orders napkins, who cleans the hood on Sunday. When they slip, guests notice before you do.
Here is how to set up a task system for a restaurant in about ten minutes, without a computer in the kitchen.
Minute 1–2: pick the restaurant starter pack
In Be Positive for Business, open Settings and apply the Restaurant starter pack. It creates the usual departments (kitchen, hall, bar, management) and the daily checklists: opening, closing, fridge temperatures, cleaning.
Minute 3–4: adjust it to your place
Rename what is different, delete what you do not do, add the two or three things that always go wrong in your restaurant. Keep tasks short: one action, one place.
Minute 5–7: invite the team to the app
Open Employees and invite people by e-mail, or send the ready WhatsApp message with the app links and your company code. The cook and the waiter install the app once; from then on their tasks come to their phone.
Minute 8: set the recurring tasks
Opening and closing checklists repeat every day; the deep clean once a week; the stock check every Monday. Set them once and they appear on the right phone at the right time.
Minute 9: turn on escalation
If the closing checklist is not done by the deadline, the shift manager hears it, and if it is still open the next day, you do. You stop walking the kitchen at midnight to check.
Minute 10: look at it from the owner's chair
Open the director panel. Today's tasks, what is late, which department is behind and who is off today, on one screen.
The first week
Expect a few "I'm blocked" messages: the supplier did not deliver, the dishwasher is broken. That is the point. You hear about it the same minute instead of at the end of the month.
